WUMSS × Hemingway Coffee Raffle
Terms & Conditions

1. Promoter

The promoter is the Wollongong University Medical Students’ Society (WUMSS), affiliated with the University of Wollongong.
ABN: 39 302 551 092.

2. Sponsor / Prize Provider

The prize is provided in partnership with Hemingway Coffee, located at:
Level 1, Building 67, UOW University of Wollongong, Northfields Ave, Wollongong NSW 2500, Australia (“the Café”).

3. Purpose of Raffle

Funds raised will support WUMSS initiatives, including student wellbeing programs, educational events, and community engagement activities.

4. Eligibility

• Open to individuals 18 years or older.
• By entering, entrants declare they are 18 years or older and may be required to provide proof of age.
• WUMSS Executives directly involved in administering the draw are not eligible to win.
• Staff of Hemingway Coffee may participate at the discretion of the Café.
• Entrants do not need to be UOW students.

5. Raffle Period

• Sales open: 1 December 2025
• Sales close: 6 March 2026 (11:59 pm AEDT)
• Draw date: 9 March 2026

Only payments successfully completed before the closing date will be eligible.

6. Prize Description

The major prize is a 5-month coffee supply from Hemingway Coffee, defined as:

• Equivalent value of 4 small coffees per week,
• For 20 weeks,
• Total maximum value $400 (4 × $5 × 20 = $400).

Prize Structure

The winner will be allocated a $400 balance to spend at the Café.

Prize Conditions

• Limit one drink per transaction to prevent bulk ordering.
• The prize is capped at $400 total value. Menu price changes may affect the number of drinks redeemable.
• The prize may only be used for standard coffee beverages unless otherwise agreed by the Café.
• Prize must be used within 52 consecutive weeks from winner notification.
• Prize is not transferable, not refundable, and not redeemable for cash.
• Café staff may request ID and may decline redemption attempts not made by the winner.
• Any unused value after expiry is forfeited.

7. Eligibility to Redeem

The prize is redeemable only at:
Hemingway Coffee, Level 1, Building 67, UOW University of Wollongong.

The winner must show either:

• A valid photo ID, or
• The unique prize code issued by WUMSS.

The Café will track usage via a tab, POS note, or equivalent internal system.

8. Redemption Period

• Start: Date the winner is notified.
• End: 52 weeks after the notification date.

Prize validity cannot be extended unless explicitly agreed by the Café.

9. How to Enter

Entrants may purchase raffle tickets:

• Online via the official WUMSS raffle page, or
• Via QR-linked Stripe or equivalent payment portal.

Ticket Pricing

• $3 – 1 ticket
• $5 – 2 tickets
• $10 – 5 tickets
• $20 – 12 tickets

Each ticket purchased counts as one entry into the draw.

Valid Entry Requirements

• Full name
• Email address or phone number
• Confirmed payment

WUMSS is not responsible for incorrect, incomplete, or non-functional contact details.

Verification of Entries

All ticket entries will be cross-checked against verified payment records. Only entries matched to confirmed payments will be accepted.

WUMSS reserves the right to withdraw all entries associated with an entrant if they:

• Register more tickets than they have paid for,
• Register tickets without payment,
• Provide false or misleading information, or
• Submit entries attached to refunded, reversed, or disputed payments (including chargebacks).

A single payment record will be treated as belonging to one entrant. WUMSS may limit entries to the individual whose details appear on the registration or payment record.

Payments completed after sales close will not receive entries, even if the registration form was submitted earlier.

WUMSS is not responsible for technical issues or failed transactions. Only successfully completed payments will receive entries.

10. Draw Process

• All valid entries will be compiled into a master entry list.
• The winner will be selected using a random number generator or equivalent impartial method.
• The draw will be conducted by two or more WUMSS representatives.
• The result is final and no correspondence will be entered into.

Prior to the draw, WUMSS will verify payments and remove any invalid, duplicated, or non-compliant entries.

11. Winner Notification

• The winner will be contacted within 3 business days using the contact details provided.
• If the winner cannot be contacted after 14 days, or declines the prize, WUMSS may conduct a redraw.
• WUMSS is not responsible for email delivery issues, spam filtering, or inaccurate contact details.

12. Publicity

By entering, the entrant consents to:

• WUMSS and Hemingway Coffee announcing the winner’s first name and initial, and
• Optional use of photos for promotional or social media purposes.

The winner may opt out of public announcements.

13. Privacy

Personal information will be used solely for:

• Administering the raffle
• Contacting the winner
• Providing redemption details to Hemingway Coffee

Data will not be sold, shared, or used for unrelated purposes.

14. Liability

To the maximum extent permitted by law, WUMSS and Hemingway Coffee accept no liability for:

• Lost, stolen, or damaged entries
• Inability to redeem the prize
• Delays or interruptions during prize redemption
• Changes to menu pricing affecting the number of drinks redeemable
• Injury, loss, or damage arising from participation in the raffle

Entrants participate at their own risk.

15. Cancellation or Modification

WUMSS reserves the right to:

• Amend these Terms & Conditions
• Cancel or suspend the raffle (e.g., safety or regulatory concerns)
• Substitute a prize of equal or greater value if necessary

Any changes will be communicated via official WUMSS channels.

16. Governing Rules

This raffle is conducted in accordance with NSW Fair Trading fundraising guidelines. Entry indicates acceptance of these Terms & Conditions.
